Summary

Responsible for the accounts, statutory compliance, records, procurement and administration of the Foundation.

KEY RESPONSIBILITIES

  • Maintain books of accounts in Tally, including vouchers, ledgers, bank reconciliation and monthly closing.
  • Operate PFMS for fund receipts, disbursements, vendor and beneficiary payments, and related reporting.
  • Track grant utilisation against sanctioned heads and prepare utilisation certificates, statements of expenditure and financial reports for funding agencies.
  • Process disbursement of seed fund and grant support to startups on the approval of the Incubator Seed Fund Committee, and maintain the supporting documentation.
  • Handle statutory compliance of the Foundation: GST, TDS, professional tax, income tax and Section 8 company filings, in liaison with the Chartered Accountant and Company Secretary and in consultation with the CEO.
  • Ensure all statutory, legal and regulatory documents of the Foundation are prepared, filed within timelines and maintained on record.
  • Coordinate the conduct of Board and committee meetings, including notices, agenda, papers and attendance, and maintain the record of minutes and resolutions in liaison with the Company Secretary.
  • Coordinate statutory, internal and grant audits with the Chartered Accountant and close audit observations under the guidance of the CEO and the university finance dept.
  • Handle the legal and statutory process of equity transfer to the Foundation against incubation support and seed funding: ensure the transfer or allotment is completed within the agreed timelines, maintain the equity record of the portfolio, and support startups with the documentation required in that process, in liaison with the Company Secretary.
  • Run the procurement process on requirements raised by the programme team, in accordance with government and University procurement norms, and prepare and maintain all purchase documentation including indents, enquiries, quotations, comparative statements, purchase orders, invoices and delivery records.
  • Maintain the inventory and asset register of the AIC, including tagging, physical verification, insurance, maintenance records and disposal.
  • Coordinate with the accounts, purchase and IT teams of Mahindra University where required.
  • Handle general administration: vendor contracts, travel bookings and settlements, office administration and related records.
  • Carry out any other responsibilities assigned by the CEO.

QUALIFICATION

  • Essential: B.Com or equivalent.
  • Desirable: M.Com, CA (Inter) or CMA (Inter); exposure to company secretarial or statutory compliance work.

EXPERIENCE

  • 5+ years of experience in accounts.
  • Essential: hands-on experience of accounting for government-funded projects or grants, including utilisation reporting. Working proficiency in PFMS and Tally is a must.
  • Preferred: 2 or more years of experience with the accounts and compliance of an Atal Incubation Centre or any government funded incubation centre.

SKILLS AND ATTRIBUTES

  • Strong command of Tally, PFMS and Excel.
  • Familiarity with government financial and procurement procedures, including quotation, comparative statement and tender processes, sanction conditions and audit requirements.
  • Working understanding of Section 8 company compliance, statutory records and share transfer documentation.
  • Accuracy, documentation discipline and the ability to meet reporting deadlines.
  • Willingness to do hands-on operational work alongside the team.
  • Clear written and spoken English for reports, records and correspondence.
